Student Code of Conduct

Responsibilities of the Company

Fuse Me In, LLC ("the Company") shall ensure that all clinical and clerkship rotations are supervised by physicians or other healthcare professionals (“the Preceptor”) who are state-licensed and hold the necessary certifications as required by their respective medical fields. The Company commits to providing detailed information about these preceptors, who are responsible for facilitating learning experiences and maintaining educational environments aligned with contemporary medical research and training standards. It should be noted that Preceptors are not required to be approved by third parties, such as educational institutions or embassies.

Student Responsibilities and Duties

As a client (“the Student”) of the Company, you are not a licensed physician and, therefore, are legally and ethically prohibited from practicing medicine or assuming responsibility for patient care. Students may assist in patient care only under the direct supervision of a licensed physician. The Preceptor is responsible for the medical care of the patient and for the content and countersigning of all orders, progress notes, and other documentation written by the Student. Students may not administer therapy or perform procedures except under the direct supervision of a Preceptor to whom they have been formally assigned by the Company.

To be eligible for any rotation or clinical experience, Students must have completed HIPAA training and undergone a background check. Additionally, all Students affiliated with the Company must possess health insurance, up-to-date immunizations, and any related testing, as well as other required documents that may be subject to change. This documentation must be current and on file with the Company prior to the commencement of any clinical rotations. Depending on the requirements of the training institution or site, Students may also be required to undergo additional background checks or drug screenings before beginning a rotation. Failure to provide the necessary information or meet the deadlines set by the Company may result in delays, cancellation of rotations, or disciplinary actions.

While on rotation, Students are responsible at all times to the personnel in charge of the assigned Preceptor. Students must adhere to the general rules and medical ethics established by the hospital, clinic, or facility where they are being trained. Professional appearance and conduct are expected at all times. Any issues or difficulties should be promptly reported to the Company. Students are required to attend all assigned clinical site conferences, orientations, meetings, lectures, and other educational programs at or near the rotation site per the Preceptor. Any exemptions from these requirements must be approved by the Preceptor. A schedule of the site’s educational programs can be obtained from the Preceptor.

The Company does not own or operate the affiliated teaching hospitals. These hospitals are owned by public or private corporations. As a courtesy and for the advancement of public health and welfare, these hospitals permit Students to train within their institutions. Many physician instructors serve as volunteer faculty. Students are considered guests and are expected to conduct themselves as courteous, responsible medical professionals at all times. It is essential for Students to demonstrate dignity, respect, and gratitude, along with ethical and professional behavior. Students are prohibited from submitting any material related to their clinical education experience for publication without prior written approval from the affiliated Preceptor, Hospital, and the Company.

Absence Policy

The primary focus of the clinical experience is patient care; therefore, attendance is required to ensure continuity of care. However, it is understood that certain situations may arise necessitating an absence from daily participation. In such instances, the following policies will apply:

  • All absences must be approved by the Preceptor at their discretion.
  • In the event of an emergency, the Student must immediately notify the Company and the Preceptor upon realizing that an absence will occur or has occurred.
  • Poor attendance, repeated tardiness, unapproved absences, or absences exceeding three (3) days may result in a failed evaluation or no credit for the rotation. The Student may be required to repeat the entire rotation, potentially incurring additional fees.
  • Failure to promptly notify the Company and the Preceptor of any absence will be considered neglect of duty and may result in a failed evaluation or no credit for the rotation.
  • Any time spent away from the rotation site during regular duty hours for lectures, conferences, or other programs at outside hospitals or universities must be approved in advance by the Preceptor.
Hours of Duty

The average workday will be determined by the Preceptor’s schedule, including office hours, hospital rounds, clinic or nursing home visits and call-schedule. Students shall be assigned activities on, or related to their current service rotation only. The Preceptor will supervise any duties assigned to Students. Whether Students receive a holiday off is determined by the assigned Preceptor. The Company does not exempt students from working on holidays. The on-site Preceptor determines the needs for educational continuity and patient care.

Booking and Scheduling

The Company will issue the Student a quote for the rotation prior to booking and scheduling the rotation. Quotes are based on the rates in effect at the time the quote is issued. The rotation start date can be adjusted at any time prior to accepting the quote. Once the Student has paid the deposit on the quote, the Student is expected to begin the rotation on the start date specified on the invoice. If a Student has paid the invoice and is unable to attend the rotation on the scheduled start date, the Student may be eligible to reschedule the rotation with the Company. To reschedule, the Student must:

  1. Contact and notify the Company no later than seven (7) business days prior to the specified start date on the invoice.
  2. The Company will review and determine the availability of rescheduled dates and times for your rotation with the Preceptor.
  3. The Student has up to one (1) year from the specified start date on the invoice to commence the rotation.
  4. Rescheduling may necessitate changes to the original Preceptor and/or duration terms, which could incur additional fees. The Student is responsible for any additional fees related to the change of Preceptors and/or duration terms due to rescheduling.
Payment Responsibilities

There are no refunds once preceptor information is released. Preceptor information will be provided once the deposit on the quote is paid or the invoice is paid in full. After the deposit payment is completed, all remaining payments are due according to the payment dates listed on the invoice. The Student agrees to have any remaining payments auto-drafted from the card used on the quote/invoice. The Student is responsible for adhering to the payment schedule outlined in the invoice. To adjust any scheduled payment dates, the Student must contact the Company at least two (2) business days before the scheduled payment is due for changes to be made to the date specified on the invoice. If payment is not received by the date specified on the invoice, the Student may be removed from the rotation, and/or all evaluations and letters of recommendation will be withheld until full payment is received. In the event that the Student fails to attend the rotation, the full invoiced amount remains due. The Student is responsible for ensuring that the clinical rotations from the Company comply with any requirements set by third parties, such as educational institutions or embassies. If a third party denies the Student or their clinical rotation for any reason, all fees are still due to the Company as specified on the invoice.

Other Responsibilities

  • The Student must provide the Company with all necessary evaluations and recommendation requests at least two (2) weeks before the end of their rotation.
  • The Student must be punctual when reporting to the Preceptor’s office.
  • The Student should bring a copy of the core curriculum, personal medical equipment (e.g., stethoscope), and any other notes or materials they consider useful.
  • Smartphones may only be used with explicit permission from the Preceptor and should be restricted to work directly related to the rotation.
  • The Student must adhere to all office protocols, including the preferred method for patient introductions as specified by the Preceptor. Some offices may have limited or no space available for storing personal belongings.
  • The Student should be prepared for each rotation day and is encouraged to study relevant information for at least two hours daily. Whenever possible, they should review patient cases that will be encountered in the office or hospital.
Student Conduct Requirements

  1. Always wear a clean, short white lab coat unless specifically instructed otherwise. Clean shoes are also required at all times.
  2. If provided with an ID badge by the hospital or clinic, it must be worn at all times. The ID badge should not be altered or damaged in any way and must be returned on the last day of the rotation if that is the hospital’s policy.
  3. If you are unsure about any aspect of your duties or environment, ask for clarification. Inquiring about uncertainties is essential for your learning.
  4. Dress appropriately for the clinical setting. Avoid wearing midriff-baring shirts, low-cut skirts (skirts must be below the knee), shorts, flip-flops, or open-toe shoes. Men should wear shirts and dress pants unless otherwise specified.
  5. Practice good judgment: knock before entering patient rooms and ensure doors are closed behind you to maintain patient privacy, even if the patient is fully dressed.
  6. Introduce yourself clearly as a healthcare Student and mention the name of your Preceptor. For example: “Hello, Mrs. Jones, my name is John, and I am a medical/nursing student under the supervision of Dr. Smith.”
  7. Any reports of inappropriate behavior will be addressed by the Company. Absences without a doctor’s note, tardiness, or leaving early may result in removal from the rotation, including a failed evaluation or no credit for the rotation.
  8. Maintain professionalism by avoiding involvement in hospital or clinic politics or gossip. Focus on learning rather than engaging in internal issues.
  9. Under no circumstances should you use profanity or be under the influence of illegal substances on or near hospital or clinic property. Any such behavior will result in removal from the rotation, including a failed evaluation or no credit for the rotation, and disqualification from future rotations with the Company.
  10. Preparing for examinations such as the USMLE or nursing boards does not exempt you from scheduled rotations. Any time off must be approved by the Preceptor in advance.
  11. Immediately report any exposure to sharp objects to your Preceptor to ensure proper health and safety protocols are followed.
  12. Apply common sense in all interactions. Treat others as you would like to be treated.
